Job Description
We’re seeking a sharp legal secretary for our busy law firm who can help our attorneys and paralegals assist clients and keep the office running smoothly. You’ll work with the team to prepare a variety of legal documents, including discovery and motions, and handle office correspondence, like preparing correspondence, answering telephone calls, scheduling meetings, and reminding the team of upcoming deadlines. Responsibilities:
- Complete legal research as needed under the supervision of attorneys and paralegals
- Be willing to take on any other necessary administrative tasks to help the firm run smoothly
- Answering phones, obtaining necessary information from callers onto the Clio system for the attorneys, routing calls, and making call logs
- Maintain good client relationships for attorneys
- Create and maintain files, including chronological files
- Complete all document processing and correspondence assignments accurately
- Prepare New Case Matters on Clio for new and existing clients, and engagement letters
- Prepare and process costs and add them to the Billing with receipts, sending them to the appropriate parties, in accordance with the guidelines
- Prepare and arrange Personal Service, Copying, and facsimile requests
- Make all necessary travel arrangements
- Maintain accurate time entries for activities daily, for attorneys and yourself, on the billing software
- Maintain attorney/paralegal calendar, including scheduling and coordinating, telephonic, Zoom, and in-person meetings
- Organize and maintain the common areas throughout the office
- Maintain and Order supplies
- Create shells, type and format a variety of litigation pleadings and discovery documents; prepare documents for filing and service of documents; electronically file and serve court documents as required by state, Federal, and local rules
- All other duties as assigned or required
Qualifications:
- High school diploma or equivalent is required; associate’s degree is a plus
- Candidates must have worked with legal software, case management, and docketing programs
- Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
- Organizational skills and communication skills are necessary for this position
- Applicants must be able to type 65 words per minute or faster
- Have at least 3 years of experience as a litigation legal secretary in civil, probate, or family law

- Ability to function in a professional and polite manner when dealing with clients, co-workers, court personnel, and others

The expected hourly pay range for this position with a work schedule of 40 hours per week is $25.00 - $39.00 ($52,000.00 - $80,600 annually). Please note that the final offer amount will be dependent on the applicable experience and skillset of the candidate.
